Who should I contact with issues when I arrive at the hotel early on Friday?
- Of course not! We'd love to have your entire chapter if possible! (Though we do have limited hotel rooms and it'll be first-come, first-served for the first 40 or so attendees, with some priority given to chapters with only one representative.) If our rooms fill up too quickly, we'll work with you one-on-one to figure out alternative solutions. The time stamp on your RSVP will determine order.
Will Team HBV cover my entire flight?
- No, only up to $250 for East Coast schools and $500 for Mid/Southwest and West Coast schools. We will also cover the $50 registration fee. This applies to one person from each chapter.
Can Team HBV cover more than one person's registration and travel costs, even if the total is less than the amount allocated per chapter? Or reimburse several people's costs, up to the allocated amount?
- No, unfortunately we can only make out one check to one person per chapter. That person's name must be on the travel receipts for reimbursement. However, how your chapter decides to split up the money sent to that person is up to you.
What does the $50 registration fee include?
- The registration fee covers venue, food, and a subsidized hotel fee. Let us know if you need a more specific breakdown for school funding/reimbursement purposes.
I noticed that we'll be living 4 to a room. Can I choose my roommates?
- Yup -- just make a note on your RSVP form when prompted if you have strong roommate preferences. We haven't had a problem yet with roommate assignments yet, though. We assign rooms based on gender and to get you to know people from different chapters.
Can I leave a little earlier than noon on Sunday? Or arrive a little late on Friday?
- Nope, sorry. We'll be working in inter-chapter teams on projects throughout the weekend, and it'll be unfair to your group if you show up late or leave early. Also we'll be commuting to and from venues, so it'll be difficult to coordinate with you if you aren't with the rest of the attendees. If, however, you have extenuating circumstances, ask us and we'll talk it out.
What do I wear?!
- Don't fret -- there's a suggested packing list on the Venue + Travel page.
How much money should I bring for Saturday dinner out?
- Depending on how much of a foodie you (and your peers) are, expect to spend anywhere between $15 and $30 on dinner that night. And maybe a little extra for dessert. Here's a Yelp link to restaurants in Harvard Square.
What else do I need to know about getting around Boston?
- The MBTA, or just The T for short, is the operator for all modes of public transit for greater Boston. This includes the bus, the subway, commuter rail (i.e., traditional train ... although separate from Amtrak), and the ferry. So when we mention the T in our descriptions of how to get to where, pay attention to whether it's a bus, subway, or commuter rail so that you're not looking for the wrong thing.
Who should I contact with issues when I arrive at the hotel early on Friday?
- Francis Deng, our co-chair, at 703.509.6157.
